The PDF e-ticketing feature simplifies ticket distribution and guest management. It allows you to upload, assign, and send PDF tickets directly through the platform, making the process efficient and minimising errors.

Activation & Settings
- Please note: This feature is available as a paid add-on to the platform. For more information or to discuss adding it to your plan, please reach out to your Customer Success Manager.

Requires Guest Management to be enabled.

Once activated, it will appear as a tab within Guest Management.
Guest & Ticket Management
The PDF e-ticketing feature offers two views:

Ticket View: Displays all uploaded tickets.

Guest View: Lists guests who are registered or admin-approved for events.
Tickets can only be assigned to registered or admin-approved guests.
Upload and Assignment Workflows
To upload ticket files, select the relevant event and then click on 'Upload ticket files'. Here, you'll be presented with some options:
Select Ticket Type: You must select a ticket type before uploading a ticket.
Once the relevant ticket type is selected, the ticket workflow will need to be selected:
Admin Assign Manually:

Tickets are uploaded but not automatically assigned to guests.

Manually assign tickets to specific guests or reassign as needed.

Use Cases: General Admission tickets or events where specific seating needs to be allocated manually.

Auto-Assign on Registration:
-
- Tickets are automatically assigned to guests upon registration.
- Use Cases: Large-scale events like conferences or hospitality events without specific seating requirements.
Attach Files:

Drag and drop files or click 'Upload a file' into the box that appears.
- Click 'Save files' once the above is complete. The ticket files will now upload and be ready for assignment.

To assign tickets in 'Ticket View', navigate to the 'Assigned to' column and select a guest next to the ticket.
Alternatively, in 'Guest View', navigate to the 'Assigned to' column and select a ticket to assign to the selected guest.
Once you have assigned tickets, navigate to the 'Assigned / Not Sent' tab and click 'Send Tickets'. They will now move over into the 'Sent' tab. This will send the ticket to the guest, by attaching the ticket to the PDF Eticket Delivery email template.

Ticket Distribution

Tickets are sent as email attachments using the “PDF E-Ticket Delivery” email template.

Email templates adopt branding from event-level themes.

Each guest receives their ticket individually as an attachment.
