Managing high guest volumes on requests
When managing large numbers of guest to an event entering guest details can be a time-consuming task.
Our guest CSV import enables allocation holders to bulk upload all of this information in one go. This function is available on the Edit Guests screen when editing a request.
Preparing your guest import file
For each request, you can download the bulk import template on the Edit Guests screen for that request.
It is important that you download the template for each event separately and don't reuse previous import templates, as the fields may be different.
The import template is in CSV format (comma separated values) which can be opened in Excel or Google Sheets. Once you open the file, you can populate the columns with your guest data.
All mandatory fields (marked with asterisks) must be populated for all guests or the import will fail.
It is important that you keep the file format as CSV and do not convert to xls, xlsx etc. It does not matte what the file name is, so you can edit this to keep yourself organised, as long as it stays in CSV format.
Formatting existing guest data sheets correctly
If you have an existing guest data sheet, you can reorganise the columns to match the import file format to save time.
You will need to make sure the header rows and column headers exactly match the import template. Finally you will need to save as CSV format.
All mandatory fields (marked with asterisks) must be populated for all guests or the import will fail.
Importing your data file
Once you have populated your CSV data file, you can upload the data for processing using the Import guest spreadsheet function.
If there are any issues found which prevent import (e.g. missing data, invalid emails or incorrect data types), you will be advised of the line number and column. If you do see any errors, you will need to correct all issues and try again.
Once the import is successful, it will preview all the guest data in the guest input form. This screen provides the opportunity to review and edit guest data before proceeding.
It is important to note that guest data is not saved until you proceed past the preview screen.
Partial guest uploads
The bulk import function supports partial data uploads, so if you do not have all of the guest information to hand but still wish to import a file, you can do so.
You can import multiple files in this manner, as long as the total number of guests does not exceed the quantity of the ticket request. A message will be shown and the import will be prevented if guest numbers exceed the quantity.
