The Invite New Users workflow
Step 1 - Inviting Users to Register
To grant a new user access to the system you will need to invite them to register, to do this you will need to know their email address. Once you have this select Settings > Users > Invite New Users and enter the email address(es) of those you wish to invite and select the green Invite New Users button as seen below:
Please note that administrators can invite any email address and are not restricted by the list of permitted domain names (Settings > Preferences > User Registration Settings).
Step 2 - Setting optional administrator permissions
On step 2, there is the opportunity to grant full administrator or guest administrator rights. If the user(s) are not admins then simply click Continue to proceed to Step 3.
Full administrators can manage all content, access all features and run reports. Guest administrators have standard user rights and the ability to manage guests within the Guest Management module - this role is only shown if the Guest Management module is enabled.
Step 3 - Setting optional administrator permissions
In Step 3 you will need to decide whether you will allocate users into one of the predetermined divisions or if the user will decide which division they are in.
Step 4 - Divisions
Dependant on the choice made on step three you will have one of the following two scenarios:
Assign users to divisions now: You will decide which division to place the user in and whether they are an Approver or a User
Users will select their division during registration process: You will be asked which divisions you would like the user to see upon their registration.
Following this step the user will be sent a link to register on their email and will have 24 hours to sign up.
Re-sending invitations where the link has expired
For security, registration links expire after 48 hours. If users attempt to register after this time period the system will automatically send them a new link to register.
Administrators can also click the Resend Invitation button next to a user's record (Settings > Users) to manually send another invitation email.
In addition, users can use the Forgotten Password function to request a new registration link.
