When to manually issue acceptance emails
Sometimes it is preferable to send registration confirmation emails to guests without sending them an email invitation or asking them to complete online registration.
Common scenarios where this applies include:
- Guest already confirmed offline - where you already have verbal / offline confirmation that a guest is attending so want to skip the invitation step
- No further information required - where you do not need to capture further information from guests so wish to skip the registration step and send them their confirmation immediately
- Short of time - where you are registering last minute guests and there is no time to wait for them to register so the registration needs processing manually.
By skipping the invitation and registration process, the guest will be immediately send the Guest Invitation Accepted email. Optionally, this email template can contain a QR code e-ticket if the relevant tag has been configured.
Sending acceptances to uninvited / unregistered guests
Once guests have been added to an approved request, they appear on the Not Yet Invited tab within Guest Management.
To send the acceptance confirmation, select one or more guests then click Approve. A message appears to confirm you wish to change the status to Admin Approved and skip the invitation process. Click the Approve All Selected button to proceed. This appears as follows:
A second step then appears asking whether you wish to trigger the sending of the Guest Invitation Accepted email. Click Yes to confirm.
