Using the Sponsorworks Customisable Dashboard
The Sponsorworks customisable dashboards provide sponsorship and event managers with an instant snapshot of the most relevant metrics for their role, using a range of graph-based and list-style reporting panels.
Enabling Dashboards
Before you can access dashboard views, they need to be enabled in your account:
Go to Settings > Preferences > Enable Dashboard.
Select visibility from the drop-down menu:
Admins Only - only administrators can see dashboards.
Admins & Approvers - admins can see all data, approvers are restricted to viewing data within the divisions for which they have approver rights.
Dashboard Views
Once dashboards are enabled, they can be accessed from the navigation bar. There are three views available:
By Category - filter data to a single category (e.g., event type or venue) and a date range.
By Event - focus on a single event, ideal for very large events with hundreds or thousands of tickets.
By Division - view usage for a particular business department or region within a date range.
Personalising Your Dashboards
Within any dashboard view, you can drag and drop data and graphic widgets so your most relevant performance metrics are positioned closer to the top.
Changes are saved per view and per user account, allowing each user to maintain a permanent personalised view.
Dashboard Panels & Reports
Below is a guide to the main panels you may see in your dashboard.
Event Summary
Gives a high-level overview of your current event programme and ticket allocations, including:
Total events - number of events set up.
Total tickets - tickets available across all events.
Remaining tickets - unallocated tickets.
Pending - ticket requests awaiting approval.
Waitlist - requests held because all tickets are allocated.
Approved - tickets confirmed for guests.
Demand - % of tickets requested compared to those available.
Utilisation - % of allocated tickets that have been used.
Late returns - tickets returned after the deadline.
Use this panel to spot high-demand events, monitor approvals, and track unused tickets.
Division Ticket Usage
Shows how ticket allocations are used across different divisions. Each segment of the pie chart represents a division, with the percentage showing its share of usage.
Helpful for comparing activity between divisions and identifying where reallocation may be needed.
Guest Registrations
Tracks the progress of adding guest details for approved tickets:
Approved tickets - number confirmed.
Guests added - guest profiles already linked to tickets.
% missing guests - proportion of tickets missing guest details.
Guests missing - number of guests still unassigned.
Monitor this panel to ensure all tickets have assigned guests ahead of deadlines.
Demand & Utilisation by Ticket Type
Compares ticket usage and overall interest for each ticket type:
% Utilisation (blue) - proportion of tickets used.
% Demand (orange) - level of interest, including any over-requests.
This helps you see which ticket types are fully used, underused, or over-subscribed.
Ticket Usage by Rationale
Displays how ticket requests are distributed across business objectives (rationales). Each request requires a rationale, which is then shown here as a percentage of all requests.
Use this to understand the key drivers behind ticket usage and ensure they align with strategic goals.
Missing Guest Registrations
Lists approved ticket requests still missing guest details, showing:
User (request owner)
Event
Tickets approved
Guest entered
Missing guests
Last reminder
From here, admins can send reminder emails directly to all users with incomplete guest details for multiple events.
To send reminders:
Log in as a system admin and open the dashboard.
Locate the Missing Guest Registrations widget.
Click Send Missing Guest Reminder to All Users.
The system emails all users with outstanding guest details for upcoming events.
The reminder uses the email template titled "Guest Details Incomplete Reminder (manual)", editable under Settings > Emails.
Top 10 Users by Ticket Usage
Highlights the users with the highest number of approved tickets, including:
User - requester or approver name.
Approved tickets - total confirmed tickets.
% approved - proportion of their requests approved.
Ideal for recognising heavy usage patterns or identifying key requesters.
Allocation Utilisation
Lists all active ticket allocations with remaining availability:
Date - event date.
Event - event name (clickable).
Audience - eligible group or user segment.
Allocation name - specific ticket allocation.
Usage - tickets used vs. total allocation.
Toggle Hide allocations with zero remaining to focus only on allocations still available.

The Sponsorworks dashboard allows you to track performance, monitor ticket activity, and take action directly from the interface. By customising your dashboard view, you can focus on the metrics most relevant to your role- ensuring you always have the insight you need to manage your sponsorship and event allocations effectively.
