This article references Additional Guests functionality for events, which must be configured for this article to be relevant. To understand more, read the article Enabling guests to invite additional guests.
When a guest changes their mind
Option 1 - Re-inviting the primary guest
The first option is to re-invite the guest so they can add the additional guest themselves:
- First cancel the guest (in Guest Management, select the guest and click Cancel)
- Go to the Cancelled tab, then select the guest and click Reinvite
- The primary guest will be able to reregister and enter the additional guest informatiom.
In this instance, the primary guest will get a cancellation email, so you may want to forewarn them that they will receive a cancellation and new invitation.
The benefit of this route is that a note will automatically be added to the additional guest's record that they are a guest of the primary guest.
Option 2 - Manually adding the additional guest
- Edit the request and manually add the additional guest's name and email
- In Guest Management, the new guest will appear in the Invited tab for the event.
- To auto register, select the new guest and click Approve. Confirm you wish to send them the Invitation Accepted email. (If you don't the guest will not receive a notification).
- Alternatively, if you want to invite the additional guest to register, you can click Send Invitation to trigger the standard invitation process.
Note that with this option, the guest will receive the standard Guest Invitation Accepted email rather than the Additional Guest Auto Registration email.
