Overview:
By default, guest emails sent from an event will use the system-level From Email Address configured and visible in Settings > Emails. Scroll to the foot of the page to view your platform From Email Addresses.
Sponsorworks also allows you to override this at an event level, enabling guest emails for a specific event to use a custom sender name and email behaviour. This is particularly useful when events are managed by different teams, brands, or partners who require replies to go to a dedicated inbox.
Important: How this setting behaves
The way this setting is applied depends on whether a Reply-To Email Address has been configured at system level (found under Settings > Emails, at the bottom of the page).
If no system-level Reply-To email address is set
The email address entered at event level will be used as the From Email Address, and guests will reply directly to it.-
If a system-level Reply-To email address is set
The system-level From Email Address will continue to be used as the sender.
In this case:The custom name entered at event level will still be applied
The event-level email address will be used as the Reply-To address
This ensures consistent sender authentication while allowing replies to be routed to the appropriate inbox.
The steps below explain how to configure the event-level setting.
Prerequisites
You must be a platform administrator to edit the relevant features.
Activation & Set-up:
The Custom From Email Address must be enabled within the event settings. This setting applies only to guest-facing emails for the selected event.
Step 1: Navigate to the Event Email Settings
Open the relevant event.
Select Edit > Guest Emails.
Steps / How-To:
Step 2: Enable a Custom From Email Address
Locate the setting labelled Use custom From Email for guest emails.
Toggle the setting on.
Once enabled, a new input field will appear allowing you to specify the from name and email address.
Please note: this field will populate with example information, which must be edited before saving.
Step 3: Enter the Custom From Email Address
The email address you enter must follow one of the rules below.
1. Using the Same Email Domain (No Additional Setup Required)
You may send from any email address that uses the same domain as an email address that is already configured on your platform.
Example
Existing platform email:events@company.com
Allowed event-level emails:hospitality@company.comvip@company.com
No additional configuration is required in this scenario.
2. Using a Different Email Domain (Additional Setup Required)
It is possible to use a custom email address with a different domain at event level. How this behaves, and whether additional setup is required, depends on whether a system-level Reply-To email address is configured.
Example
Existing platform email:events@company.com
New event-level email:guests@partnerbrand.co.uk
If a system-level Reply-To email address is set
The event-level email address will be used as the Reply-To address only
Emails will continue to be sent from the system-level From Email Address
No DNS configuration is required, as Sponsorworks is not sending emails from this domain
This is suitable when you simply want guest replies to go to a different inbox.
If no system-level Reply-To email address is set
The event-level email address will be used as the From Email Address
Sponsorworks will be sending emails from this domain
Additional setup is required
In this case:
You must have consent from the owner of the domain
The domain owner’s IT team must add DNS records to authenticate Sponsorworks as a permitted sender
This authentication is essential to ensure:
Emails are not marked as spam
Guest emails reliably reach recipients’ inboxes
Important:
If you wish to use a different email domain as a From Email Address and it is not yet set up on your platform, please contact your Customer Success Manager. Sponsorworks will provide the required DNS records for your IT team to apply.
Step 4: Save Your Changes
Once the email address has been entered and validated (if required), click Save at the bottom of the page.
Guest emails for this event will now behave as follows:
Emails will either be sent from the custom email address, or
Replies will be directed to the custom email address
This depends on whether a system-level Reply-To email address is configured, as outlined in the Overview section above. It is reccomended to test the email is behaving as desired before issuing guest invitations.
FAQs
Q: Does this change the From Email Address for all events?
A: No. This setting only applies to the specific event where the custom address is enabled.Q: Does this affect internal user emails?
A: No. The custom From Email Address applies only to guest-facing emails.Q: Can multiple events use different From Email Addresses?
A: Yes. Each event can have its own custom From Email Address, provided the domain rules are met.Q: What happens if DNS records are not added for a new domain?
A: Emails are not likely to send. If they are, without the required DNS records in place, delivery cannot be guaranteed and messages may be filtered as spam.Q: Why does my custom event email appear as the Reply-To instead of the From address?
A: If a Reply-To email address is configured at system level, the platform will continue to send emails from the system From Email Address. In this case, the event-level email address is applied as the Reply-To instead, while the custom sender name is retained.
