Guest Management Settings
Administrators can configure a variety of processes relating to the requesting, collecting and inviting of guests on the platform. Configuring this section appropriately will allow system admins to ensure the management of guest information meets the requirements of their business.
- Allow users to manage custom guest fields on approved requests
- If enabled, users are able to edit their guests’ custom fields when accessing a request via My Requests. Users are only able to edit hidden fields. They are not able to edit data supplied by the guest.
- Alert user on-screen if saved guests have invitations to other future events
- If enabled, the user sending invitations to guests will be alerted if a guest's information is also active against another future event. This pop-up modal can be dismissed if no further action is required.
- Disable email field for guest capture
- If checked, email address is not captured for guests. To be able to communicate by email with guests, it is essential that the email field is not disabled.
- Disable ‘This ticket is for me’ in guest capture
- If checked, this hides the ‘This ticket is for me’ checkbox on the Edit Guests screen against a request. ‘This ticket is for me’ enables a user to quickly assign a ticket to themselves without having to enter personal details.
- Enable offline guest registration links for approved requests
- Offline registration links enable users to access a URL to send to guests outside the system. This can be used if users prefer send a personal email to their guests rather than guests receiving invitation emails from the system. When enabled, the link can be accessed at the top of the request details screen via My Requests.
- Hide guest invitation status from users in My Requests
- If enabled, the invitation status of each guest is hidden from the owner of the request when viewing the request via any Requests.
- Rename company name field for guests during guest capture
- This will enable the “company name” field in guest capture to be changed, creating a custom guest capture field
- Send guest invitation reminders every _ days (up to 2 reminders)
- Send guests reminder emails if they have not accepted or declined their event invitation. A maximum of two reminders will be send per guest at the defined time interval.
- BCC all outgoing guest emails to
- If checked and a valid email address has been entered the platform will BCC every outgoing email to the email address provided.
