Ticket Approvals Settings
Ticket approval settings enable system admins to configure a multitude of workflows and email notifications related to the process of requesting, approving and returning assets on the platform.
- Send ticket approvals email notifications to
- Choose to send any email notifications to all administrators or just the specified list. Only registered administrator users can be entered if choosing Specified Admins. The defined recipient list applies to all email alerts within the Ticket Approvals Settings.
- Return cancelled approved tickets from divisional allocations to administrators (does not apply to All Users allocations)
- If enabled, cancelled tickets from divisional allocations will be returned to the Administrators division rather than back to the division. This feature can be used to provide admins with more control over reallocation, especially of late returns.
- Send email notification to users when an order is dispatched
- If enabled, when a request is flagged as Dispatched from the Approved tab in Approvals, the user will receive a notification based on the Order Dispatched Notification email template.
- Send email notification to admins when an approved order is cancelled
- If enabled, administrators will receive an email alert when a user cancels a request that has been previously approved.
- Send email notifications to admins when order placed from specified divisional allocations
- If enabled, administrators will receive an email notification when requests are placed from any of the selected divisions. Can be used to draw attention to VIP requests, for example, or activated for all types of requests if required.

- If enabled, administrators can edit the supporting information field in the Approvals tab.
Two-stage approvals settings - If enabled
If you have two-stage approvals enabled on your platform then this section will provide control over the process of the various permissions and emails related to a two-step approval process.
- Send email notification to approvers when an order requiring two-stage approval is placed
- If enabled and a request is subject to two-stage approval (i.e. approval by an approver first then an administrator), administrators will be notified by email that a request has been placed.
- Send email notification to admins when an order is first stage approved
- If enabled and a request subject to two-stage approval has just been first-stage approved by an approver, administrators will be notified by email that a second stage approval is outstanding.
- Allow approvers to manage single-step approvals
- If enabled, approvers will be able to approve any requests in their division that are subject to single stage approval. If not enabled, only administrators will be able to approve such requests.
- Allow approvers to manage second stage approval
- If enabled, approvers will be able to manage both first stage and second stage approvals for requests in their division.
- Enable admins to sub-allocate All Users tickets to divisions
- Activates the sub-allocation feature in Approvals, which enables administrators to allocate to divisions from initial bids places against the All Users division.
- Default interval for event reminder emails _ days before event
- Defines how many days prior to an event an email reminder is sent to the requesting user. Sends the User Event Reminder template.
Offer reminder settings - If enabled
If enabled on your platform, Offers, mean that users will be asked to accept or decline the offer which has been made to them by the admin team relating to the assets the User originally requested. You can control the behaviour of the emails relating to this process in the settings section described below.
- Enable user outstanding offer reminder email
- Configured in Settings>Emails> User & admin offer notifications the Offer Waiting Reminder email will be sent to gusts when they have an outstanding offer evident in their My Requests section of the site.
- Interval for user outstanding offer reminder emails: (x) days after approval
- The Offer Waiting Reminder email will be sent this many days after the admin team have made their offer to the User.
- Interval for user outstanding offer reminder emails: (x) days after approval
- Configured in Settings>Emails> User & admin offer notifications the Offer Waiting Reminder email will be sent to gusts when they have an outstanding offer evident in their My Requests section of the site.
- Enable admin notification of outstanding user offer email
- If checked this will send the system admins a notification if a user still has an outstanding offer which still requires their response. This email is called the Admin Notification Of Outstanding User Offer and can be found under Settings>Emails> User & admin offer notifications.
- Interval for admin notification of outstanding user offer reminder emails: (x) days after approval
- If the choice above is enabled, specify the number of days after the offer was originally made to the user you would like the Admin Notification Of Outstanding User Offer to be sent to admins.
- Interval for admin notification of outstanding user offer reminder emails: (x) days after approval
- If checked this will send the system admins a notification if a user still has an outstanding offer which still requires their response. This email is called the Admin Notification Of Outstanding User Offer and can be found under Settings>Emails> User & admin offer notifications.
- Enable admin notification when user accepts offer
- If enabled, the Admin Notification of Accepted User Offer email will be sent to the specified admins when the user accepts their their offer.
